What is MailScan?
With SafeMail, you will now receive your mail as a digitized image or PDF attachment
instead of handling the physical paper.
SafeMail is a set of interlocking programs that
allows you to centrally scan Postal Mail in a secure location and then send them to the addressee’s using your company’s existing email system. After scanning, the mail can be boxed and
stored in a secure location. This way, the mail only has to be handled by as few people as possible.
Why MailScan?
The traditional mailroom system is becoming obsolete. Paper shuffling is inefficient and
non-productive in many situations. MailScan was originally developed for mailrooms that handle thousands of items per day. Scanning the mail and then digitally send the mail
directly to the recipients greatly increases productivity in these cases.
And, sadly, recent events have caused companies to examine how their mail is distributed.
In a world where mail can be tainted with any number of biological or chemical weapons, a company can reduce their employees’ risk of exposure by containing the handling of mail.
In a MailScan environment, mailroom personnel can take special precautions to protect themselves, then scan, box-up and safely store the mail.
Does MailScan create image files or PDF documents?
MailScan can create TIFF images or Adobe PDF format documents. The choice is yours.
How do I delete unwanted mail?
You delete the mail just as you would any unwanted email. There’s nothing else to do.
How do I view the mail that is sent to me?
Both Outlook and Notes come with free viewers. Windows includes the free Eastman
Image Viewer and Adobe provides a free Adobe Acrobat PDF Viewer available at www.adobe.com. MailScan can be integrated with whatever system your company currently uses to view email.
What email systems does MailScan work with?
MailScan works with Outlook, Lotus Notes Mail, Eudora and almost any email application
that allows you to retrieve email with attachments.
What scanners can I use?
MailScan uses the industry leading Ascent Capture scan program from Kofax Image
Products. Ascent Capture supports scanners from Bell & Howell, Fujitsu, Kodak, Panasonic and many, many others. Please go to www.kofax.com for more information.
