Government Case Study # 1
Business Description: A state agency is responsible for the registration of all contractors doing business in this Southwestern State,
including the tracking and billing of license fees (first time and renewals).
Business Problem: The Registrar's office processes all contractor licenses, from receipt and fact
verification to final approval. The office was looking for a way to speed up the workflow of the application process by improving the efficiency of the documentation handling, and adding tracking
features that could immediately locate any application and its current status.
OpenDOX Solution: The standard features of OpenDOX provided many of the needed solutions to the
Registrar's workflow needs:
Ability to label each application with a status entry. Ability to search on status categories using indexed search and retrieval options.
Prioritized routing to expedite workflow. Magnetic and Optical storage. In addition, the Registrar's programmer used the OpenDOX Developer's Kit to create a DDE link between the mainframe
application and OpenDOX that would automatically match information within the mainframe application with the corresponding images stored in OpenDOX.
Key Benefits: OpenDOX provides
improved efficiency and accuracy by integrating high-speed scanners with data entry features that immediately label and organize all documentation under a unique folder key. Workflow can be
prioritized and routed within the organization according to management policies. Indexed searches and retrievals can locate any document and its corresponding status by any employee who has been
given the necessary access rights.
Special Features:
DDE hooks embedded in standard OpenDOX software allow for ease of customization.
