Business Description:
A company based in the Midwest sells commercial and industrial equipment in both domestic and foreign markets.

Business Problem:
This company was seeking to upgrade and expand both the hardware and software used in processing the reconciliations of its accounts receivable (A/R) department. The company was also looking to improve the customer service provided by its A/R specialists and eliminate the massive paper handling involved with the work. The company's goal is to stay on the leading edge of technology in order to constantly enhance efficiencies that would improve the company's position in the marketplace.

OpenDOX Solution:
A large part of the OpenDOX solution dealt with the addition of customized coding to the standard product, allowing OpenDOX to drive the work process between the mainframe A/R system and the OpenDOX application.

Attachmate Extra! 3270 emulation was used to detect completion of processing for a transaction, update the OpenDOX data base, and fetch the next folder from the specialist's queue.

As both the mainframe work screens and the OpenDOX application are visible at the same time, via a split screen design, an A/R specialist can move easily between the two applications and keep track of where they are in each one.

Key Benefits:
With the completion of a specified task, the software automatically fetches the next folder to work on and continues this action in a strict sequence until all of the queued folders to an assigned specialist are exhausted.

In the event of phone query interruptions, the current work can be quickly set aside while a specialist conducts a search in OpenDOX and then can resume work exactly where it left off.

With the addition of images to the system, the need for physically handling paperwork will drop dramatically, greatly lowering the possibility for misplacing or losing important documentation.

Vacations and leaves can be easily accommodated by requeuing work from one specialist to another via the OpenDOX system administration module.
